Privacy Policy
BillGutter works with sensitive recurring-cost documents. This policy explains what information is collected, why it is used, who helps process it, and how users can export or request deletion.

BillGutter uses your information to analyze bills, prepare safer next steps, and verify outcomes. It should not sell personal bill data or act on provider changes without approval.

Estimated savings are not verified savings. Follow-up proof is required before BillGutter counts a result as verified.
BillGutter prepares guidance and contact materials. High-impact changes require explicit user approval before they are recorded as approved.
Authorized workspace users can export data and owners can request deletion from Settings, subject to legal, billing, security, and backup limits.
Information collected
Account and workspace information
Name, email address, password authentication data, workspace membership, roles, settings, invitations, account security choices, notification preferences, and support or administrative messages.
Bill and proof documents
Bills, statements, invoices, EOBs, merchant statements, contracts, renewal notices, screenshots, pasted text, extracted fields, provider names, account references, charges, discounts, credits, dates, service details, and proof notes you upload, forward, paste, or otherwise provide.
Analysis and workflow records
Detected recurring items, recommendations, Action Queue items, proof checklists, negotiation materials, approvals, provider contact attempts, call outcomes, verification comparisons, certificates, reminders, alerts, audit events, and workspace reports.
Payment and plan data
Plan selection, subscription status, invoices, payment events, limited payment metadata, billing identifiers, and usage limits. Full card numbers are handled by Stripe and are not stored by BillGutter.
Device, usage, and security data
IP address, browser and device details, timestamps, page and feature usage, logs, rate-limit records, session activity, security events, error diagnostics, and operational metadata needed to run and protect the service.
Optional connected-source data
If enabled later and chosen by you, connected email, bank, card, or provider integrations may provide subscription, transaction, renewal, balance, sender, merchant, or account metadata. BillGutter should use those signals as items to check, not final proof.
How it is used
Subpilot's policy is especially relevant around bank and email connections. For BillGutter, the same idea should be narrower: connected data is used to find possible bills, not to prove savings or approve changes.

AI-assisted bill analysis, extraction support, recommendations, summaries, and structured reasoning when enabled.
Stripe
Payment processing, subscription management, invoices, billing portal, and webhook events.
Resend
Account email, approval email, reminder email, administrative email, and reply-processing workflows.
n8n
Automation workflows such as reminders, digests, intake routing, and operational notifications.
Qdrant
Provider memory and semantic retrieval used to improve recommendations from BillGutter's own stored context.

Owner/admin operational alerts when configured.

Access and export
Authorized workspace users can request or download a workspace export where available.
Correction
You can correct many account and workspace details in the product or by contacting support.
Deletion
Workspace owners can request deletion. Some records may remain where needed for billing, security, backups, legal, tax, fraud-prevention, or dispute reasons.
Opt out of optional connections
Optional connected email, bank, card, or provider sources should remain choice-based. Disconnecting a source may limit detection quality.
Regional rights
Depending on your location, you may have additional rights to know, access, correct, delete, restrict, object, appeal, or receive portable copies of personal information.
Policy details
This Privacy Policy applies when you use BillGutter websites, apps, APIs, uploads, notifications, automations, account pages, billing pages, and related services. If you use BillGutter for a company, household, client, or other workspace, you are responsible for having authority to provide that workspace's documents and information.
Bills can contain sensitive details, including account numbers, medical balances, insurance terms, payment history, service addresses, device plans, protected features, and business costs. Upload only information you are authorized to provide, and avoid submitting unnecessary Social Security numbers, full payment-card numbers, passwords, clinical details, or other information not needed for bill review.
BillGutter may use OCR, document parsing, AI models, embeddings, and provider-memory tools to read documents and generate review guidance. Extracted text, structured fields, provider names, line items, dates, totals, notes, and document context may be processed by third-party providers. BillGutter does not claim automatic redaction before every extraction or AI step.
BillGutter is designed to support lower-friction detection from connected sources. If those connections are enabled, they should be permission-based and used to identify likely bills, subscriptions, renewals, trials, and transaction patterns. BillGutter should not treat connection data alone as verified savings or as approval to change, cancel, dispute, or contact a provider.
BillGutter may share information with service providers that help operate the product, process payments, analyze documents, deliver emails and notifications, monitor reliability, store backups, secure the platform, or provide support. BillGutter may also disclose information if required by law, to protect rights or safety, to prevent fraud or abuse, in connection with a business transfer, or with your direction or consent.
BillGutter keeps information for as long as needed to provide the service, maintain proof and audit history, support billing, satisfy legal or tax requirements, prevent fraud, resolve disputes, run backups, and improve reliability. Backup copies may remain until normal rotation removes them. Verified-savings history may require retention of related proof unless deletion is completed under the applicable process.
BillGutter uses technical and organizational safeguards such as HTTPS, authenticated workspaces, role-based access controls, security headers, audit logs, rate limits, webhook secrets, backup checks, and session protections. No online service can guarantee perfect security, uninterrupted availability, or error-free storage.
BillGutter is intended for adults and business users. It is not directed to children, and users should not provide children's personal information unless they are authorized to do so and the information is necessary for an approved bill-review purpose.
BillGutter and its service providers may process information in the United States or other countries where infrastructure, support, or subprocessors operate. Data protection rules may differ from those in your location.
BillGutter may update this Privacy Policy as the product, integrations, law, security environment, or business operations change. Material changes should be posted with a new effective date, and continued use after an update means the updated policy applies where allowed by law.
Privacy requests should be handled through the account settings or support channel made available in the product. This policy is intended to be clear and protective, but it is not a substitute for jurisdiction-specific legal review, a data-processing addendum, or regulated-industry compliance documentation.
